Health Room (Morning) 10 One Morning (8:30-10:00) on Alternating Weeks. Give aid, personal attention and comfort to students who visit the health room. Dispense sympathy, apply band-aids and ice packs, take temperatures, call parents if necessary and perform other routine care tasks. Assist health room staff with various tasks (copying, filing, etc.) School staff respond to serious illness, injury, or allergic reaction. Volunteers must be up to date in the Safe Environment Program requirements.

Library 15 One position is for 2 hours per day for one day per week during a Trimester from 10:00-12:00. Trimester 1 ends November 28. Trimester 2 ends March 16. Trimester 3 ends June 15.   Assist students with book selection, check-in and check-out books, reshelf books, clean shelves, assist the librarian, and volunteer for a shift during the school book fair.Volunteers must be up to date in the Safe Environment Program requirements.
Lunch Room 10 Assist school staff with management of lunch room including helping students open packages and enforcing proper lunch room behavior. Shifts are 11:45a.m. -12:45 one day a week for one semester. First Semester ends January 27. Second Semester ends June 15. Volunteers must be up to date in the Safe Environment Program requirements.
Playground 30 Supervise the students at lunch recess, approximately 1 hour per week for 1 semester of the school year. Shifts are 11:45a.m. -12:45 p.m. First Semester ends January 27. Second Semester ends June 15. Volunteers must be up to date in the Safe Environment Program requirements.

Auction – Chair 2 Chair oversees and coordinates the Auction.  Develops and manages the budget and timeline.  Develops and communicates committee job descriptions to Committee Chairs.  Works closely with Auction Committee Chairs.  Contracts with and manages venue, vendors and auctioneer.  Schedules and runs monthly Auction Committee meetings.
Auction – Cashiering Chair 1 Responsible for recording and billing Auction purchases for dinner Auction. Oversees checkout on the evening of the Auction. Sets up all PCs and other related technology to enable data entry and cashiering for the evening.
Auction – Cashiering 3 Responsible for recording and billing Auction purchases for dinner Auction.
Auction – Classroom Project Chair 1 Oversees Classroom Projects. Provides classroom project ideas and assistance to Classroom Project Volunteers. Approves all Auction classroom projects. Manages classroom projects budget. Ensures that all projects are completed and delivered on time. Collects and oversees classroom project write ups and gives to Live Auction Chairs for editing and inclusion in Auction Catalog. Collects digital pictures and descriptions and works with Marketing Team to market projects and provides pictures to Live Auction Chairs for Live Auction slide show. “Fluffs”, sets up and displays classroom projects at Live Auction. Attends Auction Committee Meetings.
Auction – Data and Inventory Chairs 2 Manages all the data entry of items, manages inventory as items arrive and follows up on items that are received. Prints all certificates for Live and Raffle items.
Auction – Design Team Chair 1 Coordinates all design elements of the Auction including Silent Auction table design, table centerpieces, table decorations and room décor. Includes VIP table. Attends Auction Meetings.
Auction – Design Team Member 2 Coordinates all design elements of the Auction including Silent Auction table design, table centerpieces, table decorations and room décor. Includes VIP table.
Auction – Logistics Chair 1 Manages all aspects of Logistics for the Live and Silent Auction for the Gala.  Works closely with Auction Committee Chairs to understand all Dinner Auction logistics in order to determine volunteers needed and to ensure smooth running of the Auction evening.
Auction – Logistics Set Up and Clean Up 1  Setup involves loading a rental truck the Friday before the auction with grade projects and another large items and then transporting the items to the Hyatt Bellevue on auction day morning at 8:00am.  Setup is also responsible for putting together some auction items on-site (i.e. bbq or other items that need assembly). Cleanup details include loading the truck after the auction, and transporting the items back to the school the following morning. It is possible to attend the auction and still do the job!
Auction – Marketing Chairs 2 Works closely with Auction Chairs on communication plan. Produces all communication and marketing materials for the Auction. Included but not limited to FTH, Bulletin Boards, Sandwich Boards, Facebook, SHS Website. Attends Auction Meetings.
Auction – Online Auction Chair 1 Plans and executes all aspects of the online auction. Including but not limited to working with development on database for item creation for online auction to distribution of materials from the auction.   Attends Auction Meetings through completion of Online Auction.
Auction – Online Auction Team Member 1 Creates all item listings included in online auction. Include photos of items, writing item descriptions and updated all the way through the end of the auction. Distribute all items once the auction is closed, including mailing if out of state.
Auction – Party Chair 1 Develops Party ideas, identifies hosts, markets parties including pre-sales, writes descriptions for online and catalog. Chair creates and manages spreadsheet to track expected party revenue.   Attends Auction meetings.

Auction – Procurement Chair 1 Works closely with Auction Chairs to identify items for the Live Auction. Procures items for live and silent portions of the Auction.   Sends procurement request letters as well as canvasing businesses to procure Live, Silent and Raffle Items. Attends Auction Meetings.
Auction – Procurement Team Member 3 Procures items for live and silent portions of the Auction.   Sends procurement request letters as well as canvasing businesses to procure Live, Silent and Raffle Items.
Auction – Procurement Team Writer 1 Writer position writes all the Live Item descriptions for the catalog as well as any other content needed for: parties, raffles, classroom projects.
Auction – Raffle Chairs 2 Manages raffle items for auction. Works with Auction Chair to develop offerings, Procurement to secure donations and writing of item descriptions. Includes pre-sales and selling at auction and reconciling raffle sales at end. Attends Auction Meetings.
Auction – Registration Chairs 2 Records and tracks all RSVP’s. Provides registration specific information, meal cards, wine upgrade, etc. Helps create table assignments. Attends Auction Meetings.
Auction – Silent Team Chairs 2 Responsible for silent auction portion of gala. Number of items per table,accuracy of items, display information of item including physical items display, photos of items not on tables as well as writing descriptions. Attends Auction Meetings
Auction – Slideshow 1 Works closely with Auction Chair to creates slideshow for Live Auction. Must be proficient in Power Point. Works with AV staff and Auctioneer to ensure smooth execution of slide show day of event.
Auction – Special Projects 2 Works with Auction Chair and Development Department to identify and coordinate Special Projects, including photos. Manages Dessert Dash, including donations internal and external to school, communications prior or night of event, arranging delivery day of event, set up and updating Auction Chairs. Attends Auction Meetings.
Auction – Teacher Experiences 1 Coordinates with teachers and the procurement team to organize teacher experiences. Provide descriptions for marketing materials. Attends Auction Meetings.
Fundraising – Jogathon Chair 1 Works with Parent’s Club to come up with goal, operating budget, and sponsorship needs. Organizes team, sets schedule, checks in on team progress and course corrects as needed, helps unblock volunteers.
Fundraising – Jogathon Website and Communications 1 Works with 99Pledges & SH to create required site pages, sends communications to FTH, pulls class goal information and provides it to class coordinators
Fundraising – Jogathon Event and Volunteer Coordinator 1 Works with chair to setup schedule for day of event, works with SH staff to ensure everyone is prepared, sets up signup genius, etc. Coordinates volunteers (health tables, snack & water stations, -basically all non-equipment volunteers)

1 Takes inventory of all equipment required for event. Ensures equipment is ready for event. Coordinates setup and clean-up
Fundraising – Jogathon Finance 1 Sets up ledger and tracks expenses against budget. Publishes final report. Tracks matches and follows up with individuals as needed

 1 Creates prize catalog. Tracks, orders and distributes prizes and awards to winners
Fundraising – Jogathon Spirit  1 Organizes kick-off assembly, works with school to create on campus awareness of event (shoe poster, joggers at drop-off, posters, etc.), comes up with ideas for award ceremony and how to make the event fun for everyone (Beat the teacher, special guest, etc.)

Christmas Cash Raffle

 2 This team will create and manage a plan for selling raffle tickets for a Christmas Cash Raffle.  These positions will work with Parents Club and Administration to set ticket price, ensure adhering to Washington State Licensing laws for selling.   Proceeds will go to Endowment.

Classroom Community Coordinator 13 Support the teachers and help build the classroom community. Responsibilities include meeting with Teaching Team before Back to School Night to determine needs and plan events, maintaining the class’ Shutterfly account and using it to create sign-ups and communicate information to parents (training will be provided), and arranging 1-2 summer get-togethers in addition to periodic family gatherings during the school year.   To be considered for this position, please submit your name to Bridget Lawler and/or the CCC Coordinator.

CYO – Athletic Director 1 The Sacred Heart CYO Athletic Director, in collaboration with the Sacred Heart CYO Board, Parish Administration and School Principal, drives athletic programs that are faith-based, build Christian character, and develop athletic skills for all athletes. This position is responsible for providing leadership on all matters directly relating to the development, leadership, and administration of the Sacred Heart CYO athletic organization.

Basketball Program Coordinator

2 Major responsibilities include but are not limited to: Primary contact for parents with questions or concerns. Submit applicable paperwork to CYO Central including initial team requests, final team numbers and signed roster information. Recruiting coaches and ensuring proper training and background checks. Coordination of soccer equipment to distribute to and collect from teams and supplies (portable bathroom for field during season).   Communication to coaches to keep them updated on current events, activities, tournaments, Meeting information, etc. Coordinating with our Website/Registration. Administrator on communication and posting of registration, fees, and rosters. Coordination of advertising for registration deadlines in “From The Heart” & the parish bulletin. Coordination with Uniform Coordinators to distribute uniforms to teams. Coordination of team pictures with vendors. Communicate Sacred Heart team information to CYO and CYO information/requirements to soccer coaches.   o Coordinates with the City of Bellevue Park Department to arrange the use of additional city owned practice fields.This position is also a member of the Sacred Heart CYO Board and participates in board meetings.
CYO – Soccer Field Manager 1 Order port-o-potty, Arrange for garbage cans to be set on field. Line fields with paint every Friday before Saturday games.   Set up flags prior to Saturday games and remove after last game on Saturday or Sunday.

Soccer Uniform Coordinator

1 The Soccer Uniform Coordinator is responsible for maintaining the inventory of soccer uniforms, handling uniform replacements when needed, and managing the distribution and collection of the soccer uniforms to players at the beginning and end of the season. This position is also a member of the Sacred Heart CYO Board and participates in board meetings
CYO – Treasurer 1 The treasurer is responsible for managing the fiscal budget of the organization including Sacred Heart CYO bank account, taking in funds, paying out expenses, and providing complete cost accounting for all expenses quarterly.  The Treasurer works with each of the sport coordinators to ensure that all equipment, supplies, and uniforms are properly budgeted for and develop a plan for any large expenditures.  This position is also a member of the Sacred Heart CYO Board and participates in board meetings.
CYO – Website, Online Registration Admistrator 1 The Website/ Online Registration Administrator is responsible for the creation and maintenance of our Sacred Heart CYO website which includes program, coaching, and administration information. In addition, this position runs the online sport registration system (working with sport coordinators and the treasurer on payments and timelines). This position is also a member of the Sacred Heart CYO Board and participates in board meetings.

Ultimate Frisbee Coordinator

1 The Ultimate Frisbee Coordinator is responsible for providing leadership on all matters directly relating to the development, leadership, and administration of the Sacred Heart CYO ultimate frisbee program.  Primary contact for parents with questions or concerns. Submit applicable paperwork to CYO Central including initial team requests, final team numbers and signed roster information. Recruiting coaches and ensuring proper training and background checks.  Developing and maintaining practice schedule and field use for practices and game days. Coordination of frisbee equipment to distribute to and collect from teams and supplies (portable bathroom for field during season). Communication to coaches to keep them updated on current events, activities, tournaments, Meeting information, etc. Coordinating with our Website/Registration Administrator on communication and posting of registration, fees, and rosters.  Coordination of advertising for registration deadlines in “From The Heart” & the parish bulletin.  Coordination of T-shirts for team uniforms.  Communicate Sacred Heart team information to CYO and CYO information/requirements to frisbee coaches.  Field Management: to Coordinates use of Sacred Heart field for practices, sets up cones for games.  This position is also a member of the Sacred Heart CYO Board and participates in board meetings
CYO -Volleyball Program Coordinator 1 The Volleyball Coordinator is responsible for providing leadership on all matters directly relating to the development, leadership, and administration of the Sacred Heart CYO volleyball program.
Major responsibilities include but are not limited to: Primary contact for parents with questions or concerns. Submit applicable paperwork to CYO Central including initial team requests, final team numbers and signed roster information.   Recruiting coaches and ensuring proper training and background checks. Developing and maintaining practice schedule and gym use for practices and game days. Coordination of volleyball equipment to distribute to and collect from teams. Management of volleyball uniforms – managing the distribution and collection of the volleyball uniforms to players at the beginning and end of the season as well as handling uniform replacements when needed. Soccer Coach Grades 1-3

9 We’re looking for parent volunteers to coach our soccer teams in grades 1-3. No experience required just a desire to help teach kids the game of soccer, sportsmanship, fair play and of course, how to have fun. Responsibilities include: Supervise practices and games (7 week schedule),  Communications with parents as to practice times and game time and any changes, Work with team parent to distribute uniforms, organize snacks, Teach the young athletes the fundamentals of the sport, Provide a safe and fun environment for the children, Learn CYO rules, policies and procedures, Attend CYO required trainings (SAFE and Play Like a Champion) and meetings (Coaches meeting).

Library – Book Sale Coordinator 1 Helps with set-up and clean-up of the school book sale and assists students and parents with book selection and purchases during the sale. Time required is approximately 2 hours setting up the book sale in advance on a date TBD and working at the sale from  8:30 – 4 p.m. for the next three days (dates TBD).  Book sale is usually in early December.
Library – Young Authors Day 1 Young Authors is a 1 day event occuring in January. Recruits and coordinates volunteers, assists lead teachers in planning and oversees operations of the event.  Oversees book orders, bookmark contest, author lunches/refreshments and publicity.

Social- Community Events Coordinator 2 Works with Parents Club on all PC sponsored Community Events. Including, but not limited to Trunk or Treat, Bingo, Sock Hop, Educational Event, Night at the Museum.
Social – Grandparents Day 1 Works with Development and staff to plan, organize and staff Grandparents Day.
Social – Hospitality Support for Community Events 8 Volunteers assist with serving, set-up and clean-up of refreshments at school events.   May be asked to assist at other special evening events. Everyone will be needed at the Back to School coffee on the first day, at Back to School Night, Grandparent’s Day. This job is responsible for working a minimum of 12 hours. Majority of events are during the school day.
Social – Logistics 10 This job will be responsible for working a minimum of 12 hours assisting in Parents Club sponsored events. These events include, but are not limited to Auction, Bingo, Sock Hop, Trunk or Treat.   Majority of events are in the evening.

Service Board – Classroom Community Coordinator 1 Assists and coordinates room parent volunteers via routine meetings and communications.
Service Board – Classroom Parent Aide 1 Assists and coordinates parent classroom aide volunteers and serves as a liaison between parent volunteers and teachers.  Recruits volunteers for K-8 teachers and specialists.  Attends monthly Service Board meetings and participates in Service Board projects.
Service Board – Healthroom 1 Monitors the activities of the health room and works with the health room staff.   Creates and maintains the health room volunteer schedule and volunteer list. Develops a substitute list. Maintain ongoing communication between health room staff and health room volunteers. Attends monthly Service Board meetings and participates in Service Board projects.
Service Board – Social – Hospitality 2 Organizes food and drinks and schedules volunteers for special school events such as Back to School coffee, Ice Cream Social, Fall Open House, Service Job Sign-up day, Christmas program, and various other school-sponsored events.  Attends monthly Service Board meetings and participates in Service Board projects.
Service Board – Library 1 Under the direction of the Librarian, the Coordinator organizes the library volunteer schedule, conducts a preliminary organizational meeting and trains new volunteers.  Schedules, organizes and staffs the Book Fair.
Service Board – Playground 1 Trains and schedules playground volunteers.   Keeps staff-in-charge informed of the volunteer schedule.  Recruits volunteers as needed to fill schedule.  Develops a substitute list.  Attends monthly Service Board meetings and participates in Service Board projects.
Service Board – Secretary 1 Records minutes of Service Board meetings and distributes minutes shortly after the meetings to Service Board members and the school vice principal.  Maintains Service Board calendar, prayer/snack schedule for meetings, organizes meeting agendas and sends reminders to members.

Other – Lost and Found and Used Uniform Coordinator 2 Organizes and neatly maintains lost and found area in the school  on regular and frequent basis, at least 3 times a week.  Maintains used uniform closet and organizes it monthly sending unusable items to charity. Coordinates used uniform closet sales, including a summer event for new families.
Other – Kindergarten Soccer Coordinator 1 Organize and run soccer program for Pre-K and Kindergarten students. Practices and games held at SHS on Friday’s against each other.
Other – Yearbook 3 Works closely with the yearbook staff (students) to design, create, produce and sell the school yearbook.  Weekly meetings from September through May.
Other- Buddy Family Coordinator 1 Works with Admissions Director to organize and run the Buddy Program for new families.  This position is a vital link between the school and new families.  Enthusiasm, care and attention to detail required.
Other- Science Fair Coordinator 1 Works with Science Teacher to coordinate all admistrative aspects of the Science Fair.   Including, but not limited to finding judges, coordinating set up and tear down and hospitality for the day.
Other- Camp Hamilton Chaperone (female) 6 Must be available the entire retreat from Tuesday at 8:30am through 3:00 on Friday. Supervising girls in cabin, boys and girls through daytime activities and meals during the week.

Other – Alumni Relations 1 Responsible for updating and growing alumni database, regular updates to Facebook related to alumni, liaison between the school and alumni gatherings.  Coordinate outstanding alumni award.
Other – Parish Outreach  1 Send out materials to newly baptized infant parishioners, send out school info to newly-registered parishioners with school-age children, write a blurb for the parish bulletin at least every other week about school events.  Work with Parish on creating sign up genius for altar serving schedule.
Other – Sponsorship 1 Works closely with Procurement and Development to identify sponsorship and donation opportunities.  Contacts previous sponsors to secure sponsorships.  Canvases and sends sponsorship letters to local businesses.  Secures sponsorships from school and parish families that have businesses.  Facilitates getting advertisements for Catalog.  Attends Auction Committee Meetings.
